A complete invoice contains nine standard elements: the word 'Invoice', a unique invoice number, the seller's business details, the buyer's details, an issue date and due date, itemized lines with quantities and rates, a subtotal with tax shown separately, the total due, and payment terms with accepted methods. This sample invoice template shows each field completed with realistic example data in PDF, Word, Excel, Google Docs, and Google Sheets formats.

Sample Invoice Template

Most invoice templates hand you empty boxes; what people searching for a sample actually want is to see one filled in — what goes in the number field, how line items should read, where tax sits, what payment terms look like written down. This template comes completed with realistic example data for every field, so you can pattern-match your own invoice against a finished one rather than guessing. What to include on a sample invoice

01

The word 'Invoice' and a unique number

Sample: "INV-2026-0042." Sequential numbering is what makes your books auditable; the visible word 'Invoice' is what stops it being filed as a quote.

02

Your business details

Sample: "Brightside Design LLC, 414 Cedar St, Portland OR, hello@brightside.co." Legal name matters — it must match your bank account and tax filings.

03

The client's billing details

Sample: "Attn: Accounts Payable, Harbor Goods Inc." Bill the entity, not your day-to-day contact, and include their PO number if one exists.

04

Issue date and due date, both printed

Sample: "Issued June 10, 2026 — Due July 10, 2026 (Net 30)." The pair removes every timing ambiguity a payer could exploit.

05

Itemized lines: description × quantity × rate

Sample: "Homepage redesign — 24 hrs × $95 = $2,280." One deliverable per line, dated where relevant. Single lump-sum lines are the most disputed invoice format.

06

Subtotal, tax, and total

Sample: "Subtotal $3,180 — OR sales tax (0%) $0 — Total due $3,180." Tax gets its own line even when it's zero; it shows the omission was deliberate.

07

Payment terms and methods

Sample: "Net 30. ACH preferred (details below); cards accepted. Balances past due accrue 1.5%/month." Terms printed on the invoice are the only terms that exist.

How sample billing actually works

Reading the sample: a service invoice walkthrough

The filled-in example shows a design studio billing a product company: three dated line items (hours × rate for two, a flat fee for the third), a subtotal, a zero-tax line with the state noted, the total, and Net 30 terms with an ACH block. Copy the structure, not the words — every field maps one-to-one onto any service business.

Adapting the sample for products

Swap hours for quantities and rates for unit prices ('Walnut cutting board × 12 @ $38'), add SKUs if you track them, and show shipping as its own line before tax. Product invoices also carry the sales-tax line more often than service invoices — most U.S. states tax goods even where they exempt services.

Adapting the sample for deposits and partial billing

Keep the full project value visible, then bill the portion due: 'Deposit (50% of $8,400) — $4,200.' The final invoice later restates the total, credits the deposit with its payment date, and shows the balance. The sample's structure doesn't change — only the line composition does.

Invoicing mistakes that cost sample professionals money

Copying the sample data too literally

The example client, rates, and tax treatment are illustrations. Your invoice needs your legal entity name, your state's tax rules, and terms you actually intend to enforce — the sample shows the shape, not the substance.

Reusing an invoice number

Duplicate numbers break bookkeeping on both sides and look like fraud in an audit. Number sequentially and never re-issue — a corrected invoice gets a new number referencing the old one.

Vague line descriptions

'Services rendered — $3,180' forces the client to reconstruct what happened before approving payment, which means it sits in a queue. The sample's lines name the deliverable, the period, and the math for a reason.

Leaving terms to the email body

Payment terms mentioned in the covering email but not on the invoice don't survive forwarding to accounts payable. Everything the payer needs to pay — terms, methods, late fee — lives on the document itself.

  • Specialized billing — trades, medical, or legal invoices need industry fields; use the industry-specific templates in the library.
  • Quotes and estimates — a sample invoice shows money owed, not a price proposal; don't send one before work is agreed.

FAQs

What does a complete invoice look like?

Nine elements: the word 'Invoice' with a unique number, your business details, the client's billing details, an issue date, a due date, itemized lines with quantities and rates, a subtotal with tax as its own line, the total due, and payment terms with accepted methods. The sample template shows each one filled in.

What is a good invoice number example?

A sequential, unique identifier like INV-2026-0042 — a prefix, the year, and an incrementing number. Per-client prefixes (HAR-0007) also work. What matters is that numbers never repeat and the sequence has no unexplained gaps, because that's what auditors and bookkeeping software key on.

How should line items be written on an invoice?

One deliverable or service per line, with a concrete description, the quantity or hours, the rate, and the line total — for example 'Homepage redesign — 24 hrs × $95 = $2,280.' Dated lines for ongoing work. Lump-sum 'services rendered' lines are the single most disputed invoice format.

Is an invoice the same as a receipt?

No. An invoice requests payment for an amount owed; a receipt confirms payment happened. The invoice goes out before money moves, the receipt after — and for paper trails you often need both, tied together by the invoice number.

Is an invoice a legal document?

An invoice is evidence of a debt and part of the contractual record, though it isn't a contract by itself — the underlying agreement is. A complete invoice with clear terms, accepted without objection, carries real weight in payment disputes and small-claims proceedings.

Should tax be shown even if I don't charge it?

Yes — a tax line showing $0 (or 'services exempt in [state]') signals the omission was deliberate rather than an error, which preempts both client queries and awkward questions if you're ever audited. The sample shows this pattern.
